About the Platform

Smile Orbit is an automated recall system that helps dental clinics rebook overdue patients using smart SMS campaigns. Clinics upload their patient lists, and Smile Orbit handles the rest — identifying eligible patients, sending reminders, and tracking bookings.

Currently, Smile Orbit supports Dental4Windows (D4W) and Exact. You simply export your patient data in spreadsheet format — no direct integration is required.

No. Smile Orbit is cloud-based and runs entirely in your browser. There's nothing to download or install.

All of the above. It’s designed to be intuitive and useful for dentists, reception teams, and practice managers alike — anyone involved in patient recalls or bookings.

No. Smile Orbit is designed to be simple and user-friendly. You don’t need any technical background — most clinics are up and running within 30 minutes, with guided onboarding included.

Uploading & Managing Patient Data

We provide easy steps to help you export your patient data from your dental software and import it into Smile Orbit. The platform will guide you through the process and flag any errors along the way.

We accept Excel (.xlsx) and CSV (.csv) files.

SMS Campaigns

Yes. You can review each SMS before sending. Use one of our ready-made templates, tweak them to suit your style, or write your own from scratch.

You’re in full control. Once you start a campaign, you can choose to send messages immediately or schedule them to go out at a later time.

Yes. Smile Orbit offers full 2-way SMS. You’ll have access to an inbox where you can view and reply to patient messages directly.

Yes, Smile Orbit helps you understand the performance of your SMS campaigns, including patient engagement and results.

Yes. Smile Orbit complies with the Australian Privacy Act and the Spam Act, and follows all relevant data handling and consent requirements to ensure your patient information is managed securely and responsibly.

If you cancel, your clinic’s data is securely deleted in accordance with our data retention policy.

Pricing & Billing

Pricing is based on the number of active patients at your clinic, with each package including a set number of SMS credits. For full details, visit our Pricing Page.

Yes! We offer a 14 day free trial so you can test Smile Orbit with your own clinic’s data. You’ll also get free one-on-one onboarding to help you get set up quickly and confidently.

You’ll be notified before reaching your limit. If you go over, you can still send SMS messages at 9¢ per segment, excluding GST.

Yes. You can cancel your subscription at any time — there are no lock-in contracts.

Most clinics are up and running in 15–30 minutes. The setup is simple, and we’re with you every step of the way.

Character Limits

Yes. If your message is over 160 characters, it’s split into 153-character parts and reassembled on the patient’s phone. Each part counts as one segment for billing.

Standard text: Up to 918 characters (6 SMS parts)
Messages with emojis or special characters: Up to 402 characters (6 parts)

Yes. Emojis switches the message to Unicode encoding, which lowers the character limit to 70 per SMS, or 67 per part if split.
